Hey all,

Currently, we have a picklist on the account detail screen that specifies which firm a company is with. All users are able to add/edit/delete the entries in the picklist (unless I flag "users are unable to edit picklist," in which case nobody can do anything to the entries), and if I change a picklist selection's information, then all the accounts with that selection remain the original version of the picklist's selection.

My question is this:
How do I create a picklist that only a selected few are able to maintain, yet all are able to assign picklist entries to accounts, and how do I have the picklist update all the other entries with old selections once the selection's data has been modified?

Well, this one is a tricky one. I guess the best way to do it would be via a Custom view that allow you to maintain only the desired picklists, then apply security to it so that only certain users can access it.

Even if you were to use security to expose the current Picklist Manager, it would not give you the desired result, since the items would still be owned by the user making the change and wouldn't be visible to all users.

Easiest way for your current Implementation: Tools/Maintenance/Replace Data.

The other option is to set the control to Store the ID (or the Code if the code is static) of the Picklist item rather than the Text, thus you could make changes and it will be reflected across all accounts that reference the current item. Note that to implement this change you would have to modify the existing data.

In Workgroup Admin > Edit User > Security > Administration Security > Administritive Role = Picklist Manager

Would that do what you require?
