I am looking to purge old opportunities from our system using the builtin purge function of SLX 6.2.6. What I am most interested in is deleting attachments associated with the older opportunities. Can anyone tell me of their experience using this tool, whether good or bad. The reason for needing the purge is that our synclogs directory has grown too large. Thanks.

Hi Anthony,

Purge only cleans up the SQL tables. The purge will not delete the actual attachment from the synclogs folder. The opportunityid is cleared from the Attachment table for the Opportunity Attachments but the Accountid is still populated and they can still be accessed under the opportunies account record.

What you could do is remove (Copy to another location) the old attachments from your synclogs share N.B. this is not opportunity specific. Users will then be informed that the requested file could not be found. The user could then request this file be sent to them if they need it.

And/Or you could also run integrity checker for attachments which will clear out the attachment records for the missing attachments (i.e. the ones you archived) - so users will not be able to see the old attachments.

Hope this helps,

Steve

The second option sounds more appropriate for my environment. I will have to run a few tests with the Integrity Checker to see what it comes up with. I would think that I could purge old opportunities first, and then run the attachment file validation test.

Mel,

Yes, the Purge Records Wizard is in the Sage SalesLogix LAN Client accessed from the menu - Tools\Maintenance\Purge Records...

Documentation is available in the online help.

Cheers,

Steve

What should be done to those opportunities whose owner is no longer with the company? We have lots of opportunities that were not properly turned over. As a result, the opportunity is staying in its current stage and are not progressing for a long time.
Is purging those oppoetunities an option?

This is mostly a question that the Business needs to answer.

Technically, there is nothing wrong with the opportunities existing on the system and not progressing, or with Purging them, but someone should review them, identify if they are still viable and if so, assign them to newer reps.

Typically, most companies make it a rule that when a Sales Manager is no longer with the Company, his/her Opportunities are assigned to someone else right away (that person being his/her Manager, or a replacement, or just divided among the remaining Sales Managers).
